Job Summary
We are looking for a highly organized and detail-oriented Restaurant Admin Manager to oversee administrative functions and provide support to our operations team. The ideal candidate will manage day-to-day administrative duties, coordinate scheduling, oversee inventory control, and ensure compliance with company policies. This role requires a proactive approach to problem-solving, strong communication skills, and a deep understanding of restaurant operations.
Key Responsibilities

Administration & Office Management
- Oversee all administrative duties, including document management, filing, and correspondence.
- Maintain office supplies and restaurant inventory; ensure accurate record-keeping and timely reordering.
- Manage the restaurant’s POS system, updating menus, prices, and promotions as needed.

Scheduling & Payroll
- Prepare staff schedules, ensuring adequate coverage during peak hours while managing labor costs.
- Track employee attendance, manage time-off requests, and coordinate with HR for payroll processing.
- Handle onboarding and offboarding paperwork for restaurant employees, including contracts and other HR documents.

Financial Management & Reporting
- Monitor daily sales, expenses, and cash flow; provide weekly financial reports to the management team.
- Assist in preparing the monthly budget and controlling operational expenses to optimize profitability.
- Reconcile bank deposits, handle petty cash, and ensure accurate record-keeping for audits.

Inventory & Supply Chain
- Oversee food, beverage, and supply inventory management; implement systems to minimize waste and reduce costs.
- Work with suppliers to manage orders, negotiate pricing, and track deliveries.
- Conduct monthly inventory audits and report discrepancies or issues to management.

Customer & Vendor Relations
- Act as the primary point of contact for vendor communications, ensuring timely order fulfillment and service quality.
- Handle customer service inquiries related to billing, reservations, or other administrative concerns.

Compliance & Safety
- Ensure the restaurant complies with local labor, safety, and health regulations.
- Coordinate employee training on food safety, customer service, and company policies.
- Maintain up-to-date records of all licenses, certifications, and health inspections.

Support & Operational Assistance
- Assist with day-to-day restaurant operations, especially during peak hours or special events.
- Coordinate with management to support restaurant promotions and marketing initiatives.
