Job Description: Academic Administrator - NATED

Job Summary:
- The Academic Administrator position will include administrative support functions in the following areas such as:
- Infrastructure maintenance
- Health and Safety
- Human Resources
- Academic Delivery
- Campus Administration
- Campus Quality Assurance
- Providing administrative support to the Campus Operations Manager in the day-to-day business of the campus operations.
- From an Academic point the Administrator will provide academic administration support in the various academic processes.
- Academic Administrators must be excellent multi-taskers and be able to work under pressure, as their duties include admin support in various divisions of the operational functions on campus.

Duties and Responsibilities:
- Assist the COM with the registration process of students. This will include:
- the collection of all required documentation, i.e., ID docs, Qualification certificates, etc.,
- Capturing registration data on CampusOnline,
- Uploading the registration documentation onto CampusOnline.
- Preparing and distributing attendance registers for staff,
- Capturing staff attendance on attendance records and updating employee leave records,
- Capturing student attendance on CampusOnline,
- Ensuring students are correctly registered for the DHET exams and correct details and term marks are submitted,
- Co-ordinate and update the complaints register and report all complaints to the COM.
- Provide administrative support in the assessment process by:
- Monitoring the NATED assessment due dates,
- Processing NATED mark sheets and submitting them to COM for approval and process implementation,
- Capturing and distributing DHET exam permits as approved by the COM,
- Process, capture, and distribute NATED Progress Reports, Results and
- Statement of Results as approved.
- Distributing national timetables to NATED based Campus Academic staff and students,
- Assist with the administrative tasks assigned for NATED student support, i.e., invites, attendance registers, communication to students,
- Minutes taking and meeting management functions i.e., invites, attendance registers, agendas,
- Compile management information and quality assurance reports on various NATED functions as identified by COM.
- Administrative support on various systems i.e. CampusOnline; CCP; ICAS; ColCampus; EPoE and MS Office 365; etc.,
- Assist with Graduation planning.
- Invigilating NATED formative assessment and exam sessions,
- Collecting and returning DHET exams from and to TVET college.
Experience, Qualifications, and Competencies:
- A minimum requirement of a bachelor’s degree.
Experience
- At least 3 – 5 years of experience directly related to the duties and responsibilities specified in a Higher Education Institution.
- Experience working with learning management system (LMS) platforms is preferred; familiarity with LMS requirements preferred, including online Assessment Technologies
- Experience working with Microsoft Dynamics and Microsoft Office 365.
- Demonstrated capacity to design, set, and evaluate assessments at the appropriate level.

- In-depth understanding of NATED Report 190/1 and any other legislative framework.
- Expertise in assessment, data analysis, and educational outcomes.
- Excellent interpersonal skills and a demonstrated ability to work with diverse members of the CTU community including students, faculty, staff, and other campus-based administrators.
- Demonstrated ability for effective organizational skills and ability to connect to the institutional strategy while displaying attention to detail.
- Knowledge of institutional self-assessments and student outcomes assessment principles, methods, and techniques.
- Knowledge and understanding of integrated program assessment planning, development, and administration within a higher education institution environment.
- Advanced verbal and written communication skills.
- Knowledge of CTU’s Teaching and Learning systems, definitions, and procedures.
- Ability to analyze complex problems, interpret operational needs, and develop integrated, creative solutions.
