Duties and responsibilities:
New and Existing Business (Clients not sold to)
To provide management and strategist with weekly reports as to:
- Sales for the week.
- Total consultations booked vs occurred for the week.
- Strike rate for the week and MTD.
- 1st consultations seen, how many 2nds requested from these and successfully booked.
- Status of open vs lost 1st consultations and reasons.
- Number of 2nd, follow up and review meetings - booked vs occurred.
- How many Diamonds identified in the week and next task set.
- How many PIPS done, and total number of properties presented per PIP.
- How many companies and how many trusts paid for.
- Names of ALL the clients identified in the week as HOT CLIENTS, that strategist is set to close within 2 weeks. Also, the developments and total units for these clients.
- Ensuring that all clients have their profiles 100% accurately populated with their needs (5 questions).
Investor Business (Clients sold to)
To provide management and strategist with weekly report as to:
- Review meetings scheduled and occurred- names of clients seen and next steps.
- How many Diamonds seen in the week and MTD.
- Wealth Plan meetings set up and Wealth Plans sold.
- Attend to and resolve client complaints.
- How many Review meeting preps done - Accounting, Rentals, progress reports, snagging, complaints, Trust and Company, Bonds - Financial assessment, current portfolio.
- Names of ALL the Investor clients that strategist is set to close within 2 weeks. Also, the developments and total units for these clients.
- Ensuring that all clients have their profiles 100% accurately populated with their needs (5 questions).
General Duties
- To ensure that the strategist has NO OVERDUES - no moving out of tasks will be allowed.
- To ensure that the strategist has 8 consultations per day booked in the diary.
- To take responsibility of booking 2 review meetings per day and ensuring that they occur.
- Preparation of files to bonds and that they are there within 12 hours of deposit paid and 2 weeks of structure to be formed.
- Manage all complaints.
- Defaulting to the phones and phoning leads in order to ensure that strategists diary is always full.
- Schedule client meetings and manage calendar.
- Professional and attention to detail – Accuracy is key.
- Efficient in Excel to create and maintain reports.
- Responsible for preparing documents for client meetings, especially review meetings.
- After meetings, PA to update CRM (Zoho) with notes on the meeting and schedule next activity/meeting with the client.
- Populating Property Investment Proposal when needed.
- Answering phone calls and emails.
- Handle client queries and give feedback.
- Daily meeting with Strategist to give feedback on daily activities.
- Following up with clients on any outstanding documents.
- Populating Development Spreadsheets with necessary information when sales are concluded.
- Follow through on sales process, ie File to Bonds, follow up on the sales process till outcome is reached on the sale and give feedback.
- Keep Sales Spreadsheet up to date.
- Mining the current portfolio and arrange meetings to grow the business.
