Job Summary
PURPOSE OF JOB
The Leasing Manager is responsible for overseeing all leasing functions, including managing leasing agreements and related documentation. This role involves resolving complex lease negotiations, evaluating and modifying leasing policies and procedures as needed, and ensuring compliance with legal requirements. The Leasing Manager also ensures that services are delivered professionally and efficiently, while leading and supporting the leasing team to meet company objectives.
KEY PERFORMANCE AREAS
- Input and interpret new leases and related documentation (renewals, amendments, addendums, terminations) accurately and efficiently.
- Draft lease offers, agreements, addenda, cancellations, cessions, and assignments, ensuring accuracy and timely delivery.
- Liaise with tenants, portfolio managers, and landlords to coordinate leasing activity and address unit/area change requests.
- Collaborate with landlords and portfolio managers to obtain necessary approvals for leasing agreements and related documents.
- Ensure that all leasing activity is recorded accurately and timely in company systems, supporting reporting requirements.
- Provide support to portfolio managers as needed.
- Regularly communicate with tenants to follow up on outstanding documentation (e.g., FICA) and resolve leasing queries.
- Maintain up-to-date tenant files and filing systems.
- Update and amend standard lease documentation in line with legislative changes.
- Write legal opinions on proposed amendments to tenant-specific requirements.
- Perform initial invoicing of lease fees and deposits.
- Conduct lease audits to ensure all documentation is properly signed and legally enforceable.
- Prepare and send monthly lease reports to landlords and submit commission calculations for approval.
- Manage leasing administrator and assistant, ensuring accurate loading of leasing documentation and correct use of leasing systems.
QUALIFICATIONS, COMPETENCIES, AND SKILLS
- Minimum of Grade 12 or equivalent qualification.
- A degree in Business Administration, Real Estate, Public Administration, or related field (preferred).
- Paralegal qualification (desirable).
- Real estate experience (preferred).
- Prior experience as a Leasing Manager.
- Strong ability to quickly sign legitimate tenants.
- Proficiency in interpreting and drafting lease agreements.
- Excellent verbal and written communication skills.
- Ability to manage and resolve tenant-related queries effectively.
- Experience in providing general administrative support and interfacing with clients.
- Sound business and property management knowledge.
