Job Summary
Key Responsibilities:
- Manage the CEO's complex and dynamic calendar, including scheduling meetings, appointments, and travel.
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO.
- Draft, review, and organize correspondence, reports, and presentations on behalf of the CEO.
- Conduct research and provide background information on meeting topics as required.
- Coordinate and manage special projects as assigned by the CEO.
- Organize and prepare agendas for executive and board meetings.
- Take detailed meeting minutes and follow up on action items as needed.
- Prepare briefing documents, reports, and presentations for meetings.
- Ensure that the CEO is well-prepared for all engagements
- Arrange and coordinate the CEO’s international and domestic travel, including flights, accommodation, and itineraries.
- Prepare travel expense reports and ensure timely reconciliation of expenses.
- Screen and prioritize incoming communications, emails, and phone calls, responding or delegating where appropriate.
- Maintain a high level of professionalism and confidentiality when handling sensitive information.
- Act as a liaison between the CEO and other executives, staff, and external stakeholders.
- Maintain and organize confidential files and records.
- Manage office supplies and ensure the CEO's office is fully equipped and functional.
- Handle personal tasks and ad hoc requests as required by the CEO.
- Assist in organizing and coordinating corporate events, functions, and team-building activities.
- Manage logistics and support for corporate meetings and conferences attended by the CEO.

Qualifications & Experience:
Education:
- Bachelor’s degree in Business Administration, Communication, or a related field preferred.
Experience:
- Minimum of 4 years experience as an Executive Assistant or Personal Assistant to C-suite executives.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with virtual meeting platforms (Zoom, Microsoft Teams).
