Key Responsibilities
- Serve as the primary point of contact for maintenance, mailing, parcel handling, supplies, equipment, bills, and office errands.
- Efficiently transfer data from paper formats to digital files or database systems.
- Maintain and organise the company OneDrive.
- Manage the switchboard, answering calls, directing callers, and taking messages when needed.
- Organise and schedule meetings and appointments.
- Coordinate with IT service providers on all IT-related matters.
- Cultivate relationships with vendors and service providers ensuring timely invoicing and payments.
- Provide general support to visitors.
- Create spreadsheets, presentations, and PowerPoint slides for training and business purposes.
- Manage office services, ensuring organised operations, controlled correspondences, and effective filing systems.
- Actively participate in planning and executing company events.
- Establish and monitor record-keeping procedures.
- Ensure adherence to office policies and procedures.
- Type CVs for consultants and proofread completed work for grammar, spelling, and punctuation.
- Conduct MIE Checks and record costs.
- Generate daily, monthly, and yearly business reports, including referrals, send-outs, interviews, and call logs.
- Manage placement cards, production figures, and client invoices.
- Handle customer inquiries and complaints.
- Maintain a checklist of office consumables.
- Manage all social media platforms, create content, drive engagements, and grow the brand.
- Develop and distribute newsletters.
- Undertake agency development tasks and handle ad-hoc responsibilities.
Educational Requirements- Matric (Grade 12)
- Undergraduate degree / Diploma
- Knowledge of Microsoft software packages
- Typing Speed: Proficient at typing 45 words per minute
- Certificates (Communication, Writing Skills, etc.) would be advantageous
