Job Summary
The Fleet Controller is responsible for managing and overseeing the day-to-day operations, maintenance, and compliance of the company’s fleet of delivery vehicles and associated resources. This role involves ensuring the efficient delivery of stock to customers by maintaining the operational readiness of vehicles, including trucks, trolleys, crates, locks, and other essential resources. The Fleet Controller will monitor vehicle health and safety compliance, ensuring all required safety equipment and documentation are in place. Additionally, the role includes managing regular vehicle servicing, conducting safety checks, addressing any maintenance issues, and ensuring the fleet maintains a professional image on the road. The Fleet Controller will be crucial in optimizing resource usage, ensuring vehicle reliability, and enhancing the company’s reputation through vehicle presentation and professionalism.
Fleet Management:
- Oversee the day-to-day operations of the fleet, ensuring vehicles are available, operational, and meet delivery schedules.
- Manage the inventory of vehicles, trolleys, crates, locks, and any other resources necessary for successful stock delivery.
- Ensure all fleet resources are tracked, maintained, and accounted for at all times.
- Address any issues related to vehicle performance, resources, or compliance swiftly and efficiently.
- Communicate with relevant teams or departments to ensure the smooth running of operations and timely resolution of issues.
Vehicle Scheduling:
- Coordinate the scheduling of vehicles to ensure optimal availability, ensuring that all deliveries, services, and other logistics needs are met in a timely manner
Vehicle Maintenance Coordination:
- Schedule and track regular servicing, inspections, and repairs of vehicles in the fleet.
- Coordinate with external service providers or internal teams for necessary vehicle maintenance and repairs.
- Maintain records of all service history and maintenance work completed for each vehicle and resource.
- Manage a comprehensive vehicle checklist for all fleet vehicles.
- Ensure that all required inspections and maintenance tasks are completed on time, including addressing any issues flagged in the checklist.
- Manage and coordinate regular servicing and repairs for vehicles to minimize downtime and ensure reliability.
Compliance and Safety:
- Ensure all vehicles comply with industry regulations, including licensing, safety standards, equipment and inspection requirements. Maintain up-to-date records for all vehicles.
- Conduct regular checks to ensure vehicles and equipment are compliant with safety standards and are fit for use.
- Ensure vehicles have the necessary safety and emergency equipment before each journey.
Resource Management:
- Oversee the tracking, usage, and maintenance of all delivery resources, including trucks, trolleys, crates, locks, and other equipment.
- Ensure that resources are allocated efficiently and are available for the successful delivery of stock to customers.
- Keep accurate records of spare parts, tools, and equipment for fleet vehicles.
- Report and act on any discrepancies.
Vehicle Image and Branding:
- Ensure that all vehicles in the fleet maintain a professional and clean appearance, reflecting the company’s brand and reputation.
- Regularly inspect vehicles for cleanliness, damage, and overall presentation.
- Coordinate vehicle cleaning and maintenance efforts to ensure the company’s image on the road is consistent and professional.
Cost Control
- Monitor fuel consumption, manage fuel cards, and track the fleet’s operational costs. Identify opportunities to reduce expenses related to maintenance, fuel, and vehicle usage.
Driver Management
- Monitor driver performance and behaviour through telematics, reports, and direct feedback to distribution controller.
Cold chain efficiency
- Monitor and report the vehicle temperature units to ensure alignment with cold chain indicators.
Vehicle AI reporting:
- Use of vehicle AI systems and resources to investigate, report and identify areas of risk and concern for improvement and management.
Reporting and Documentation
- Prepare and maintain reports on fleet performance, including vehicle usage, maintenance logs, fuel consumption, accidents/incidents, and costs. Submit regular updates to management on fleet performance.
Vehicle Procurement
- Assist in sourcing and purchasing new vehicles when needed, ensuring alignment with fleet needs and budget.
Sustainability Initiatives:
- Promote and implement strategies to reduce the environmental impact of the fleet, including transitioning to more energy-efficient or eco-friendly vehicles where possible.
Accident Management
- Oversee the reporting, investigation, and insurance claims related to any accidents involving fleet vehicles.
