Job Summary
Hire Resolve's Client is seeking a experienced Administrator to join their team in East London. The role entails to provide comprehensive administrative support within the engineering industry, ensuring efficient coordination of technical, operational, and project-related tasks while maintaining compliance with company policies and industry standards.
Key Responsibilities
1. General Administration
- Manage daily office operations, ensuring a smooth workflow within the engineering department.
- Prepare and manage correspondence, reports, technical documents, and presentations.
- Organize and maintain accurate electronic and hard copy filing systems.
2. Project Coordination
- Support engineering teams in scheduling and tracking project timelines and deliverables.
- Maintain detailed project documentation, including contracts, work orders, and progress reports.
- Assist in preparing project proposals, tenders, and budget reports.
3. Procurement and Inventory Management
- Coordinate procurement of technical materials, tools, and equipment required for projects.
- Maintain inventory records, ensuring sufficient stock levels and proper documentation.
- Liaise with suppliers to ensure timely delivery of goods and services.
4. Compliance and Documentation
- Ensure all engineering documentation adheres to company and industry standards.
- Assist with regulatory compliance by preparing required reports and maintaining records.
- Manage safety, health, and environment (SHE) documentation for audits.
5. Communication and Coordination
- Act as the primary liaison between the engineering team and other departments.
- Schedule meetings, coordinate travel arrangements, and prepare agendas.
- Facilitate effective communication between clients, suppliers, and team members.
6. Financial Administration
- Process invoices, track expenses, and assist with budget management for engineering projects.
- Reconcile purchase orders and ensure accurate record-keeping of financial transactions.
- Assist in preparing financial reports related to projects and operational costs.
7. Technical Support (Non-Technical Role)
- Maintain familiarity with basic engineering terminologies and processes to support the team effectively.
- Assist in updating technical drawings, schematics, and manuals in collaboration with engineers.
Qualifications and Experience
- Minimum Qualification:
- Matric (Grade 12) with strong mathematics and/or technical subjects.
- Preferred Qualification:
- Diploma or Certificate in Business Administration, Project Management, or Engineering Support.
- Experience:
- 3+ years in an administrative role within the engineering, manufacturing, or construction industries.
- Experience in project coordination and procurement is highly advantageous.
Key Skills and Competencies
- Organizational Skills: Exceptional ability to manage multiple tasks and priorities efficiently.
- Technical Awareness: Basic understanding of engineering terms, processes, and documentation.
- Software Proficiency: Advanced knowledge of MS Office Suite, especially Excel and Word; familiarity with CAD software and ERP systems is advantageous.
- Communication: Strong verbal and written communication skills to interact with technical teams and external stakeholders.
- Problem-Solving: Analytical mindset to assist in troubleshooting administrative or project-related issues.
- Attention to Detail: High level of accuracy in record-keeping, reporting, and documentation.
