Job Specification They provide end-to-end engineering services for commercial vehicle engineering and development Our solutions include zero emissions such as battery electric- and fuel cell- as well as hybrid- or conventional-powered products Their product development expertise includes medium and heavy-duty commercial vehicles in applications such as delivery, bus, motorhome, off-highway, refuse and several other specialized and vocational vehicle markets Junior Administrative Assistant/Receptionist oversees reception duties and administrative tasks and supports new employee onboarding Reception Duties Answering and directing phone calls Booking boardrooms for meetings, interviews, etc Prepare onboarding gift bags Office tour for new employees Ordering of office supplies (milk, coffee, tea, sugar, cleaning supplies) Ordering of stationery Manage cleaning staff and her schedule/duties Access tag and office key management and assignment File and maintain a record of key and tag forms File and maintain a record of waiver forms Update register for keys, tags and waiver forms Sending Happy Birthday email General Office Maintenance Aircon Kitchen equipment Chairs and desks Building (office) Alarm and Security Management: Allocate contact persons at CDF Keep track and arrange maintenance to be done regarding Olarm App and the offices Alarm system Leave and Attendance Management Downloading of door log reports Maintaining Attendance Register Maintaining Annual, Sick and Family Responsibility Leave Register Inform management when sick leave is taken Follow up on outstanding leave entries on Sage Compare Leave on Timesheets and Sage File and maintain a record of manual leave applications Parking Management Update waiting list Allocate parking to new employees Update and maintain parking register and allocations Submit new allocations/payments for payroll deduction Ordering of parking plates Planning of social events (braais, yearend functions etc) Booking of venues, DJ, entertainment etc Sending out invitations Purchasing of food and beverages according to dietary requirements Minimum Requirements Diploma/Degree in Office Administration or equivalent would be an advantage Fully bilingual in English and Afrikaans Driver licence Grade 12 with Math (Pure mathematics) 0-2 years of experience in a similar role, would be an advantage Proficient in Microsoft Excel, Word, and Outlook Strong critical thinking and problem-solving skills Attention to detail and accuracy in work Ability to handle confidential information with discretion Excellent organizational and multitasking abilities Excellent writing & communication Skills (English & Afrikaans) Outstanding organisational and time management skills Kindly note that by submitting your application for this career opportunity, you agree that Guardian Recruiting may use your application for the purpose of the recruitment and selection of the said position, and this information may be shared with the relevant stakeholders in the business.
