Requirements
- Basic finance background
- Minimum 2 years’ experience in a Finance role (Basic Understanding of Flow)
- Minimum 3 years’ experience in project or Operational function
- Some knowledge in Health and Safety, Quality, etc.
- Strong Admin Function execution a must.
- Excellent Microsoft excel skills
Duties
- Assist and contribute with configuration and pricing (Supply, Services, Tenders, RFI, Quotes etc.)
- Notify and collaborate with all stakeholders on new Tenders and RFI’s, ensure that all the requirements have been adhered to and that all the information has been obtained from all internal company employees and external consultants prior to compiling and submitting.
- Generate Quotes for large tenders and small jobs.
- Liaise with Consulting Engineers, Clients, and suppliers.
- Support Deal closure process.
- Liaise with Logistics/Procurement and follow up on deliveries.
- Communicate new projects and maintain/oversee projects progress until completion.
- Update pipeline and Sale Reports.
- Assist Finance on account queries related to projects.
- Support and assist with the overall business operations for day to day running across multiple departments.
- Update and manage recons on various sections from awarded tenders, suppliers, clients as well as project progress and additional work.
- 3rd Party Services – Track and communicate to all relevant parties for date, Safety File Requirements, and resource to be allocated, etc.
- Liaise with Site Manager and relevant persons for all Site Related issues and oversee until completion.
- Consult with Engineers, to obtain up to date information on the projects (always save all documents and correspondence to the project file on server to various sub-folders, i.e.
- Latest drawings, and updated drawing schedule
- Production info, Spec sheets etc.
- Cable Schedule, and all revisions
- Handover File info to save on server for the successful compilation of handover documents.
- Correspondence of delays etc. saved on server.
- Client LOA/PO etc. saved to folder on server for projects.
- Supply Quotes and related info for specific projects value with the raise of each invoice, check credits, retention, account project queries. Saved on server.
- Check and monitor snags on BIM reports ensure that there is constant update.
- Ensure that all company and client related communication/correspondence are dealt with timeously in a professional manner.
- Excellent skills in documentation control
- Submit daily/weekly/monthly reports to various departments/clients.
