The RPO Administrator will play a pivotal role in supporting the RPO team with their recruitment process by providing advanced administrative oversight, ensuring seamless execution of recruitment projects, and maintaining compliance with company policies and labor laws. This role is responsible for managing complex candidate data, generating detailed recruitment reports for senior management. Additionally, the RPO Administrator will act as a key liaison between the RPO team, senior leadership, and external stakeholders, contributing to the strategic improvement of recruitment systems and processes. The role demands high attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment Grade 12 (or equivalent); a diploma or certification in Human Resources, Business Administration, or a related field is advantageous. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced knowledge of Excel and data analysis tools. Strong organizational and multitasking abilities, with experience managing multiple recruitment processes simultaneously. Excellent communication and interpersonal skills, with the ability to liaise effectively with senior management, recruiters, and external stakeholders. High attention to detail and accuracy, particularly in handling sensitive information and compliance-related tasks. Ability to work independently, prioritize tasks, and handle high-pressure environments. Familiarity with applicant tracking systems (ATS) and recruitment software, with the ability to troubleshoot and optimize system use. Demonstrated experience in generating, interpreting, and presenting recruitment-related reports and metrics Advanced Administrative Support: Lead the management and update of candidate records in the applicant tracking system (ATS), ensuring data accuracy and consistency. Prepare, analyze, and distribute complex recruitment reports, presentations, and documentation for senior management. Oversee and streamline recruitment-related correspondence, ensuring timely and professional communication with all stakeholders. Serve as the primary administrative liaison for senior recruiters and hiring managers, coordinating efforts across multiple departments. Oversee the onboarding process, ensuring compliance and efficiency in documentation and candidate engagement. Onboarding, Compliance, and Risk Management: Take ownership of the preparation of all onboarding documents, contracts, and legal agreements, ensuring full compliance with internal policies and relevant labor laws. Oversee the completion of new hire paperwork and documentation, ensuring the process is executed with high standards of accuracy. Conduct thorough background checks, verification of credentials, and risk assessments for new hires, flagging potential issues to senior leadership. Ensure compliance with company policies, legal regulations, and industry best practices related to recruitment and employment. Stakeholder Management and Candidate Engagement: Act as the senior point of contact for candidates, addressing complex administrative inquiries and providing guidance on recruitment processes. Maintain a high level of customer service, fostering strong relationships with internal stakeholders, candidates, and external vendors. Manage the onboarding and off-boarding process with external vendors. Act as the senior point of contact with external vendors (Job boards) Data Management, Reporting, and Analytics: Ensure the accurate maintenance of recruitment databases, with a focus on data integrity, compliance, and security. Generate detailed recruitment metrics, performance reports, and forecasts for leadership, including tracking KPIs, headcount growth, and budget utilization. Lead initiatives to improve data management processes, collaborating with IT departments for systems enhancements. Formulate and assemble presentations and data summaries for internal and client meetings. Documentation and Legal Compliance: Manage and oversee recruitment-related documentation, including contracts, service level agreements (SLAs), and compliance records. Lead the preparation and distribution of employment contracts, ensuring all documents are legally compliant. Ensure strict compliance with company policies and relevant employment laws, including but not limited to equal opportunity employment, data privacy, and labor laws. Project Leadership and Strategic Support: Take the lead on planning and executing recruitment projects and strategic initiatives, collaborating with consultants. Provide senior-level administrative support on ad-hoc tasks and special projects, contributing to recruitment strategy formulation and implementation. Identify opportunities for process improvement and operational efficiency, presenting recommendations to leadership. Coordinate logistics for recruitment events and activities. Technical Advanced planning and organizational skills, with the ability to handle complex and large-scale recruitment projects. Strong analytical and reporting capabilities, with experience using recruitment and HR metrics for decision-making.
