Job Summary
Our well-established client in the hydraulic industry in looking for a Warehouse Manager to join their team and who will be reporting directly to the MD and CFO. You will be required to oversee receiving, warehousing, workshop and distribution operations as well as general housekeeping of warehouses and workshops. Duties and responsibilities (include but are not limited to): Implementing operational policies and procedures and having weekly meetings with warehouse personnel to inform and direct. Implementing and overseeing security operations. Control inventory levels by conducting physical counts monthly and annually; reconciling with data storage system. Keeping physical inventory levels under control and minimize slow and non-moving inventory. Maintains physical condition of warehouse by planning and implementing new design layouts; space requirements, inspecting equipment; issuing work orders for repair and requisitions for replacement, setting up warehouse locations and overseeing that part numbers/ stock codes are allocated to warehouse locations and that physical parts are as per the part number/stock code. Ensuring effective and safe use of warehouse equipment. Ensuring safety of staff and complying to health and safety regulation Motivating and disciplining staff as required. Maintaining documentation and keeping accurate records of warehouse activities. Maintaining awareness and knowledge of condition and location of fleet vehicles. Organizing daily deliveries. Supervising the activities and daily tasks of warehouse personnel as well as setting up daily activity schedules for lunchbreaks, early arrival and late departure to have dispatched. Ensuring speedy printing of picking slips, picking, packing, invoicing and dispatch of ordered goods for delivery and collections. Ensuring that sales staff is urgently informed of any delays in deliveries and collections. Ensuring that counter sales customer orders are prioritized in order to have speedy delivery and satisfaction. Ensuring that all products, items, or materials received are sorted, labelled, and stored in an orderly fashion according to company policies and standards. Preparing warehouse locations and issuing lists of incoming shipments and items and handing it to receiving personnel Perform weekly inventory verification in order to ensure that all items are accounted for. Preparing a list of outgoing shipments according to customer, salespersons and branch requests. Assigning time sheets and work schedules to warehouse personnel. Assigning work timetables for weekend work, overtime work and lunch breaks when necessary Assisting warehouse personnel with their tasks when necessary Interviewing and training new employees. Liaising with customers and employers regarding storage capacity and availability: Informing personnel about storage policies. Ensuring there is enough space to store goods for customers and employers. Making special arrangements for customers with goods that require particular attention. explaining fees to customers based on volume, weight, or time of storage according to company policies. Providing with regular reports of the products they have in store. Reviewing and adapting warehouse operations according to shipping schedules. Conducting regular inspections on warehouse conditions, as well as that of vehicles, tools, and equipment Head up and engage with the managing director on health and safety policies and monthly meetings related to health and safety requirements. Ensuring emergency equipment is in place and working properly. Supervising and ensuring that all safety and emergency policies and procedures are followed. Overseeing the workshop operations in terms of job cards records, receiving goods from customers from customers that needs to be checked into the workshop, meeting with the workshop technician and brand managers on jobs that needs to be completed, seeing that bills of materials are issued for equipment that needs to be manufactured by the workshop and ensuring that job cards are invoiced on completion. Issuing inventory to the workshop for repairs and manufacturing on Job Cards and Bill of Materials documents. Overseeing that the workshop areas are always in a clean and neat state and that safety measures are in place to avoid injuries, damages, fire or any hazard that may be consequential form unkept and dangerous circumstances. Purchasing and purchase order function: Assessment of demand or description of need by interacting with brand managers. Selection of sources of supply Receiving of quotation Placing orders with local and international suppliers Tracking local and international orders in conjunction with couriers and shipping line agents. Making delivery at the proper time by following up the orders. Verification of invoices according to quoted pricing and rectification of variations. Inspection of incoming materials Meeting transport requirements of incoming and outgoing materials Maintaining purchasing records and files. Developing coordination among other departments. Minimum requirements: Tertiary qualification 5+ years in similar position Experience with cross border logistics, imports/exports, duties and procedures Valid drivers license Own vehicle Hydraulic equipment experience preferred
