Job Summary
Personal Assistant to the Director East London
- Provide administrative and executive assistance
- Office administrative, Secretarial or equivalent assistance
- Valid driver’s Licence
- Must be fluent in English (able to speak or equivalent qualification)
- Fluency in isiXhosa would be an advantage
- Must be organised
- Ability to work independently
- Strong written and verbal communication
- 3 years previous working experience in a legal environment
- Exposure to supporting a director of a law firm (desirable)
Performance Areas
- Proactively manage, coordinate and maintain the diary of the Director
- Coordinate all aspects of meetings, workshop and functions according to Director’s requirements and within budget parameters
- Administrative, presentation, minutes within agreed timeframes
- Manage incoming calls in the Director’s office as well as correspondence (paper and electronic) responding independently where possible and in line with authorized judgment
- Ensure files (paper and electronic) are kept in order and easily accessible by the Director.
- Prepare and check invoices and arrange for payments to ensure adherence to Service Level Agreements
- Monitor and respond to incoming communication on behalf of the Director, where appropriate, ensuring efficiency and timeous response
- Must be familiar with the litigation lifecycle and be able to diaries files for actioning in accordance therewith
- Report writing
- Perform executive and oversight tasks in the place and stead of the Director concerned and must be able to analyze data and monitor the performance of others
- Ability to receive and execute instructions from the company’s professional staff.
