Job Summary
We seek an experienced and energetic Travel Coordinator, based in Morningside, Durban to join our team on a fixed-term temporary contract basis. The Travel Coordinator will be responsible for executing the travel requirements of our team members who travel locally and internationally, flight bookings, accommodation, car rentals, visas, letters, forex etc. Your role would involve negotiations with service providers to achieve the best possible service and price, keeping accurate record of travel bookings and expenses, process travel expense reports, follow up and resolve discrepancies. The ideal candidate will have strong organizational skills, diligence, and excellent communication abilities. Key responsibilities include but are not limited to:
- Plan and organize travel itineraries for employees, including flights, accommodation, and ground transportation for local and international travel.
- Stay updated on travel regulations, airline policies, and industry trends.
- Respond to employees with travel inquiries and provide guidance on travel programs.
- Ability to handle and resolve travel-related issues or emergencies promptly and efficiently to resolution. Advise employees on travel policies, visa requirements, and any necessary documentation needed for their travel.
- Prepare and distribute travel-related documentation (letters, visas etc. and itineraries)
- Research and recommend travel options based on cost-effectiveness and preferences.
- Liaise with travel vendors and negotiate contracts to secure favorable rates.
- Quote, book, and confirm travel arrangements through relevant platforms.
- Ensure compliance with company travel policies.
- Maintain accurate records of travel bookings and expenses.
- Process travel expense reports and follow up on discrepancies.
- Maintain and update a database of employee travel profiles, including preferences, frequent flyer accounts, passport details, and other relevant information.
Role requirements:
- Proven work experience as a Travel Coordinator, Travel Agent, or a similar role in corporate travel management, local and international.
- Fluency in written and spoken English, with additional language skills being an advantage.
- Matric and bachelor’s degree in business administration, Hospitality, or related field (preferred).
- Proficient in Microsoft Office Suite (Excel, Outlook, Word).
