Job Summary
Main purpose of the job:
- To work closely with the CEO to provide support in dealing with the secretarial and administration of the day-to-day operations
- Acting as the first point of contact and assist with general queries and office administration
Location:
Key performance areas:
- Manage diaries and meetings of the CEO
- Screen phones calls, enquiries, requests and handle queries where appropriate
- Assist with meetings, documents, reports and presentations
- In absence of the CEO, undertake follow ups and delegate work as per his Instruction
- Preparing monthly petrol and credit card reconciliations
- Assist with all PO & PMV processing from related projects and departments
- Maintain office systems (including filing)
- Assist with reports for Manco reporting
- Ordering food and beverages for regular CORE staff functions
- Booking, coordinating, and confirming travel arrangements for the CEO and other executives or syndicate heads upon request
- Prepare itinerary (if necessary)
- Ensure per diems processed accordingly
- Process travel expense claims
- Assist with any ad-hoc requests
Required minimum education and training:
- Grade 12
- Relevant Diploma in Business Administration will be an advantage
Required minimum work experience:
- Minimum 3 year’s experience
Desirable additional education, work experience and personal abilities:
- Confidentiality, tact, and discretion must be maintained at all times
- Exceptional organizational and administrative skills are required together with working knowledge of Microsoft Office
- Able to exercise discretion, high levels of initiative and independent decision-making
- Ability to manage self and prioritize own workload
- Attention to detail is required
- Excellent communication skills (both written and oral) and the ability to establish and maintain effective working relationships with other executives, managers, staff, and external customers such as vendors and suppliers
