Job Overview
We are seeking a highly organized, detail-oriented, and versatile professional to join our team as an Office Manager, Bookkeeper, and Personal Assistant. This role combines administrative oversight, financial management, and personalized support to ensure the smooth operation of our office and executive functions. The ideal candidate is proactive, resourceful, and able to manage multiple responsibilities with efficiency.
Key Responsibilities
Office Management:
Oversee daily office operations, ensuring an organized and productive work environment.
Manage office supplies, equipment, and vendor relationships.
Coordinate meetings, events, and travel arrangements for staff as needed.
Act as the primary point of contact for internal and external communications.
Bookkeeping:
Maintain accurate financial records, including accounts payable/receivable, invoices, and payroll.
Reconcile bank statements and track financial transactions.
Prepare financial reports and assist with budgeting and forecasting.
Ensure compliance with tax regulations and liaise with accountants or auditors as required.
Personal Assistance:
Provide executive-level support, including managing the calendar, scheduling appointments, and handling correspondence.
Assist with personal tasks and errands to support the executive's work-life balance.
Conduct research, organize information, and prepare presentations or reports.
Handle confidential information with professionalism and discretion.
Qualifications:
Proven experience in office management, bookkeeping, and/or personal assistance.
Strong proficiency with accounting software (e.g., QuickBooks, Xero, Pastel / Sage) and Microsoft Office Suite.
Exceptional organizational and multitasking skills.
Excellent communication skills, both written and verbal. Afrikaans would be an advantage.
Ability to maintain confidentiality and exhibit a high level of professionalism.
Preferred Skills:
Familiarity with import, export, international trade, and foreign currency.
Prior experience in supporting C-suite executives.
Problem-solving mindset and adaptability to dynamic work environments.
