Job Summary
Over and above his/her technical and project management duties, the Business Manager is responsible for the efficient day to day coordination of the East London Office within the Delegation of Authority for Business Managers.
AREAS OF RESPONSIBILITY.
Business Development and Support
- Assists with business development (Sales / Marketing) in the region with the support of the Sales Team
- Contributes to the Company’s annual business and strategic plan.
- Arranges customer functions at Office level in order to promote the Company.
- Ensure clear agreement of customer objectives and that these are met or exceeded.
- Ensure excellent customer service by addressing client inquiries and concerns promptly.
- Maintain client databases and track client interactions for future reference.
- Collaborate with business development teams to identify potential clients and support proposal preparation.
Internal Project Management, Health and Safety, Administration and Quality Management Procedures
- Comply with Company procedures and processes in terms of project registration and risk analysis.
- Comply with Quality procedures by ensuring auditable trail of actions during full life cycle of project delivery process all in accordance with company Quality Management Procedures.
- Comply with and embrace Health and Safety requirements in the Office as well as on construction sites.
Project Delivery
- Provides project support to Chief Operational Officer as well as to Project Managers.
- Manages and coordinates assigned projects cost effective (as per the job description for Project Managers).
- Ensure that project start-up processes are followed, and the project scoping is clear and approved.
- Prepare designs and reports, Project manage with cost estimates, and liaise with other professionals, both internally and externally.
- Review tender and construction documents for compliance with applicable codes/standards/guidelines/client specifications.
- Develop detail designs, manage the preparation of drawings, and prepare tender documentation.
- Promote cost reduction and productivity-enhancing initiatives.
- Facilitate and assist with the tender and adjudication process leading up to contractor appointment and site handover.
- Monitor and manage construction activities including:
i. Attending site and inspection meetings.
ii. Managing changes to work scope.
iii. Managing installation quality and compliance with specifications.
iv. Managing contract finances including valuations and payment certifications.
v. Managing and witnessing testing and commissioning of works.
vi. Managing close out of projects.
Training and Mentoring
- Participate in continuous professional development training in order to maintain professional registration.
- Assist with training and mentoring of others who are registered as in-training engineers/technologists.
Leadership and Relations
- Maintain good working relations with all stakeholders, both internal and external to the Company, and always demonstrate professionalism.
- Manage office budgets, expenses, and financial records, and collaborate with the finance department as required.
- Interact with leaders and peers in such a way to command respect and to grow leadership skills.
- Facilitate and develop positive relationships in the Office and ensure that acceptable levels of ergonomics are maintained.
- Support the HR department in recruiting, onboarding, and training new employees.
- Facilitate employee performance evaluations and contribute to employee development initiatives.
- Oversee employee scheduling, leave management, and attendance tracking.
- Resolve employee conflicts or concerns and maintain a positive work environment.
- Manage the administrative support staff for the Office.
- Ensure that the Office administrative matters are dealt with effectively and timeously.
- Ensure the maintenance of standard office equipment, including the motor vehicle(s) and furniture.
- Ensure the effective maintenance of the Office building in terms of the lease agreement.
- Ensure the maintenance of the Office archives.
Education, Language & Qualifications
- B.Eng or B.Tech degree.
- Professional Registration with ECSA – Pr Eng or Pr Tech Eng.
- Excellent communication and management skills.
Essential Knowledge, Skills, and Experience
- Technical and practical engineering skills
- A minimum of 10 years technical and practical experience designing and managing civil projects (Infrastructure: Buildings, Water, Sewer and Roads).
- Management of office or department(s) and staff.
- Proficient in using office software, including word processing, spreadsheets, and presentation tools.
- Proven experience as an Office Manager or in a similar administrative role.
- Familiarity with project management software and tools is a plus.
- Demonstrated leadership abilities and the capacity to work independently.
- Business development and marketing skills.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Strong problem-solving and decision-making skill.
- Ability to adapt to changing priorities and work well under pressure.
