Position: Client Operations Specialist Purpose of the Position: The Client Operations Specialist will provide administrative support and ensure smooth operational processes for client accounts. The candidate will handle client on boarding and asset transitions, working closely with the Client Management team and other internal teams to ensure efficient transition processes and resolve inquiries, contributing to an exceptional client service experience. Minimum of five years†experience in asset management portfolio administration, portfolio on boarding and transitions, client services, or a related operational role. Strong technical knowledge of client administration transactions and financial instruments. Familiarity with asset management operations, including cash flow processing, reconciliation, transitions, and portfolio administration. Proficient in Excel (including formulas and data manipulation). Proficient in Hi-Port or similar systems. Understanding of segregated and unitized funds. Knowledge of investment products and regulatory requirements in South Africa is advantageous. Technical/Professional Qualifications: BCom, BCom Hons, or a similar qualification focusing on financial subjects or a related field. Clear and concise communication skills, both written and verbal. Client and Fund Administration: Completing client on boarding, account setup, and maintenance of client information. Instructing custodians to set up cash, scrip, YIELDX, and call accounts as part of new client take-on. Preparing and sending creditor loading forms. Maintaining up-to-date and organized client files and documentation. Operational Processes: Maintaining and updating the standard Service Level Agreement (SLA) and service standards. Ensuring accurate and timely processing of client transactions, including investments, disinvestments, and transfers. Reporting on cash and scrip and call account reconciliations. Updating and sending cash forecasts to the dealing desk. Preparing daily cash flow instructions for processing for clients. Reviewing and sending flows for UT clients to OMUT institutional for execution. Preparing unit trade instructions for Curo processing. Preparing intra-day cash balances checks. Checking midday and end-of-day EFT confirmation emails from Curo. Conducting end-of-day cash flow checks to ensure all flows have been successfully processed. Reviewing cash flow emails from OMUT to confirm all client instructions have been processed. Handling monthly management fee collection. Maintaining relationships with custodians and trustees. Managing relationships with Curo, OMIG teams, and internal teams. Transitions: Completing client transitions, including terminations and asset transfers. Managing end-to-end transition processes with clients and internally. Collecting and analyzing data to ensure the accuracy and completeness of asset transfer records. Performing reconciliations to identify and resolve discrepancies. Handling day-to-day operational tasks involved in asset transitions, such as account setup, trade processing, cash transfers, and position reconciliations. Serving as a liaison between internal teams, custodians, clients, and external service providers. Assisting with client inquiries and providing updates on the transition process. Additional Specialist Responsibilities: Coordinating overall management fee collection processes and interest claims. Ad-hoc Project Work: Assisting the team in delivering on key operational projects and process improvements.
